Where to download every Etsy CSV for taxes

Etsy splits your year across four exports in two places. Monthly statements hold the fees, ads, labels and refunds. The Orders file holds what buyers paid. Order Items breaks orders down by listing, and Etsy Payments Sales gives the exact 1099-K figure. Here is where each one is, which dates to pick, and what goes wrong.

Checklist · one tax year

The files to download

4 exports
  1. Monthly statements 12 files

Shop Manager → Finances → Monthly statements

Fees, Etsy Ads and Offsite Ads, shipping labels, refunds, sales tax and deposits.

  2. Orders 1 file

Shop Manager → Settings → Options → Download Data → Orders

What buyers paid per order: item value, discounts, shipping and sales tax.

  3. Order Items optional

    Same page, type "Order Items"

One row per item sold, with its listing, for profit by listing.

  4. Etsy Payments Sales optional

Same page, type "Etsy Payments Sales", whole year

The exact 1099-K figure: its Gross column totals to Box 1a.

Download Data is under Settings in Shop Manager, not under Finances. Statements are under Finances.

1. Monthly statements: one CSV per month

Go to Shop Manager → Finances → Monthly statements, choose a month and download its CSV. Repeat for every month from January to December of the tax year. There is no single download for the year.

  • What it's for: everything Etsy charged or credited you. Transaction, processing and listing fees go to Schedule C Line 10, Etsy Ads and Offsite Ads to Line 8, shipping labels to expenses, and refunds to Line 2. Every statement row, line by line.
  • Trap: a missing month. With 11 statements instead of 12, a month of fees and refunds quietly drops out of your expenses. Count the files before you start.
  • Trap: fees aren't on the sale row. On current statements, a Sale row carries no fees. Each processing fee is its own Fee row, and fee credits appear as rows like "Credit for processing fee". Add up the Fee rows, not a fee column on the sales.
  • Trap: deposits look empty. A deposit row's amount is only in its title, for example "$15.34 sent to your bank account". Its Amount column shows --.
  • Refunds across the year end. A refund on the January statement for a December sale is dated by the statement. ShopYear counts it in the year the refund was made, the cash method, so you need only the 12 statements of the tax year.

2. Orders: one file for the year

Go to Shop Manager → Settings → Options → Download Data, choose Orders, and set the dates to cover January through December of the tax year. Etsy names the file starting with EtsySoldOrders.

  • What it's for: what buyers paid, order by order. Columns include Order Value, Discount Amount, Shipping, Sales Tax and Order Total. Shipping buyers paid belongs in gross receipts.
  • Trap: Order Value is before discounts. Etsy's own revenue figure is Order Value minus the discount amount. Adding up Order Value alone overstates your sales whenever you ran a coupon or sale.
  • Trap: the wrong year range. Orders are dated by sale date. A December order that ships in January is still a December sale, so a range that ends early leaves it out.

3. Order Items: the same page, a different type

On the same Download Data page, choose Order Items for the same dates. The file name starts with EtsySoldOrderItems.

  • What it's for: one row per item, with Listing ID, Quantity, Price and Item Total. You need it only to see which listings made money; the Schedule C totals come from the other files.
  • Trap: it isn't the Orders file. The two names are close, and each file has a different job. Download both if you want profit by listing.

4. Etsy Payments Sales: the 1099-K figure

On the same Download Data page, choose Etsy Payments Sales, pick the tax year and leave the month blank so the file covers the whole year. Older guides call it "Direct Checkout Payments".

  • What it's for: Etsy says your 1099-K total equals the sum of this file's Gross column. It is the quickest way to check the form's Box 1a, and to find which orders explain a difference.
  • Trap: one month instead of the year. If a month is selected, the total covers that month only and won't match the form.
  • Trap: the wrong column. Some guides show it as Gross Amount. The file also has fee and net columns, and later "posted" and adjusted versions. Only the gross column matches the 1099-K.

Not getting a 1099-K this year? You still report the income, and this file is still the cleanest gross figure. Our 1099-K guide walks it to Schedule C Line 1.

Before you close Shop Manager

  1. 12 statement CSVs, January to December, one file for each month.
  2. One Orders CSV whose dates cover the whole year.
  3. Order Items for the same dates, if you want profit by listing.
  4. Etsy Payments Sales for the whole year, if you want the exact 1099-K figure.

Selling outside the US? Exports in other locales can use other names, such as Delivery instead of Shipping, and amounts in other currencies. ShopYear is built for US shops.
